Create and manage groups

In the ExtraFax Cloud control panel, groups of selected users can be created and documents shared with those groups of users, rather than having to define the sharing settings of each document and user individually.

Create a new group

  • Log in as an account manager,
  • Expand Settings and click on the ‘Groups’ menu item,
  • Click on the 'NEW' button to add a new group.

  • Assign a new group name, optionally add new group members from the list of users and click the 'SAVE' button.

Delete a group

To remove all shared users and close a group completely;

  • Log in as an account manager,
  • Expand Settings and click on the ‘Groups’ menu item
  • Locate the group you wish to delete in the ‘Groups’ section, and click on the more options icon More Options Icon at the right hand side of that group’s entry in the list,
  • Click on the ‘Delete’ link to remove.

Rename a group

  • Log in as an account manager,
  • Expand Settings and click on the ‘Groups’ menu item
  • Locate the group you wish to rename in the ‘Groups’ section, and click on the more options link More Options Icon at the right hand side of that group’s entry in the list,
  • Click on ‘Properties’,
  • A pop up window will be displayed,
  • Update the group name as desired and click the ‘Save’ button to apply the changes.

Add users to a group

  • Log in as an account manager,
  • Expand Settings and click on the ‘Groups’ menu item
  • Locate the group you wish to modify in the ‘Groups’ section, and click on its entry in the list in order to add user(s),
  • Add User to Group Window
  • Under the ‘Members’ section, click on the arrow icon to ‘Add users to group’,
  • When you are satisfied with the users added to the group, click the ‘SAVE’ button to apply the changes.

Remove users from a group

  • Log in as an account manager,
  • Locate the group you wish to modify in the ‘Groups’ section, and click on its entry in the list in order to remove user(s),
  • Remove User from Group Window
  • Under the ‘Members’ section, click on the 'X' icon to ‘Remove user(s) from the group’, click the ‘SAVE’ button to apply the changes.
